Business Email for Qatar Companies: Microsoft 365, Google Workspace or Zoho?

Published 6 min read

In Qatar, a quotation sent from a Gmail or Hotmail address still loses deals. Procurement teams at large companies and government-linked entities expect correspondence from your own domain, and customers increasingly treat a free-mail address as a sign that a business is temporary, or worse, a scam. A proper business email is one of the cheapest credibility upgrades a company can make.

The harder question is which platform. This guide compares the three services Qatar SMEs usually choose between, explains the setup details that decide whether your mail reaches the inbox, and shows what each option costs in riyals.

Why a company-domain address matters in Qatar

  • Trust in tenders and procurement. Supplier registrations and quotations are routinely checked against your domain and trade name.
  • Protection from impersonation. With DMARC in place, others cannot easily send mail that pretends to come from your domain, a common trick in invoice fraud across the Gulf.
  • Continuity when staff leave. A free account belongs to the person; a business mailbox belongs to the company and can be handed over with its history.
  • One brand everywhere. The domain on your website, card and email signature match, which customers notice.

All three handle Arabic well in practice: subject lines, right-to-left message bodies and Arabic display names work in Outlook, Gmail and Zoho. What causes trouble is usually the signature. Build a bilingual signature as simple text and a small logo, with your name, title, company and contact details in both Arabic and English, rather than as one large image that is blocked by default and unreadable on phones.

The setup that decides whether your mail is delivered

Most complaints that “our emails go to spam” come from missing DNS records, not from the provider. Three records matter:

  • SPF lists the servers allowed to send mail for your domain. Include every system that sends on your behalf: your mailbox provider, your website's contact form, your invoicing tool and any newsletter service.
  • DKIM signs each message so receivers can verify it was not altered and really came from your domain.
  • DMARC tells receivers what to do with mail that fails those checks and sends you reports. Start in monitoring mode, then move to quarantine or reject once all legitimate senders pass.

Since 2024, large mailbox providers such as Gmail and Yahoo require authenticated mail from bulk senders, so these records are no longer optional for a company that sends quotations, invoices and newsletters.

Data protection and where your mail is stored

Email holds personal data: customer names, ID copies, CVs, medical or financial details. Qatar's Personal Data Privacy Protection Law (Law No. 13 of 2016) expects you to protect that data with appropriate safeguards. In practice that means multi-factor authentication on every mailbox, a clear policy on forwarding company mail to personal accounts, and removing access promptly when someone leaves. If you are in a regulated sector, ask your regulator whether there are rules on where mail is stored, and check the data-location options of the plan you choose.

Moving from your current email without losing anything

  1. List every mailbox, shared address (info@, sales@, accounts@) and alias you use today.
  2. Create the new mailboxes and copy old mail, contacts and calendars across while the old system is still live.
  3. Switch the MX records at a quiet time, such as a Thursday evening, then copy any mail that arrived during the change.
  4. Add SPF, DKIM and DMARC, test sending to Gmail and Outlook addresses, and set up phones and laptops.
  5. Keep the old service for a few weeks as a safety net before cancelling it.

Our email migration service does these steps for you, including mailboxes from cPanel hosting, Gmail and older Exchange servers.

Frequently asked questions

Is Microsoft 365 or Google Workspace better for a Qatar company?

Neither is better for everyone. Microsoft 365 suits teams that rely on Word, Excel and Outlook; Google Workspace suits teams that work in the browser and share documents live. Both support Arabic fully.

Can I use a .qa or .com.qa domain for business email?

Yes. Any domain you own can be used with Microsoft 365, Google Workspace or Zoho. Keep the domain renewed, because an expired domain stops your email at the same moment.

Why do my company emails go to spam?

Usually because SPF, DKIM or DMARC are missing or wrong, or because a website form or invoicing tool sends mail that is not included in SPF. Fixing the DNS records solves most cases.
